About the Role
The Business Operations Support Specialist is key to optimizing our operational flow, directly supporting the Operations Manager. This role encompasses crucial functions within procurement, inventory, and logistics. Key responsibilities include accurately managing stock levels, executing purchase orders efficiently, and coordinating all shipments to ensure timely fulfillment of customer and organizational requirements. The ideal candidate will possess excellent organizational skills, meticulous attention to detail, and proven ability to successfully manage competing priorities in a dynamic work environment.

Compensation: $52k-70k+
Operations Support Specialist Requirements/Competencies:
College degree or technical diploma.
Excellent verbal and written communication skills.
Strong interpersonal and customer service skills.
Exceptional organizational skills and attention to detail.
Proven time management skills with the ability to meet deadlines.
Strong analytical and problem-solving abilities.
Ability to prioritize tasks effectively.
Proficiency with Microsoft Office Suite.
Proficiency in SAP preferred.
Operations Support Specialist Responsibilities:
Order Management Duties:
Coordinate with sales teams to ensure customers are accurately set up in the system and compliant with company standards.
Confirm pricing for each customer according to program-specific pricing lists.
Accurately input customer orders into the ERP system and verify all details for accuracy.
Send order acknowledgements and confirmations promptly after order entry.
Collaborate with sales and warehouse teams to optimize order processing and ensure timely delivery.
Communicate effectively with customers, internal teams, and vendors to resolve issues and maintain smooth operations.
Create, analyze, and distribute daily and weekly reports to monitor open and in-fulfillment orders.
Work with finance on accounts receivable to ensure timely invoice payments and send notices for overdue accounts.
Maintain data accuracy, integrity, and consistency for customer and order-related information in the ERP system.
Inventory & Procurement Duties:
Support and maintain inventory levels in cooperation with the warehouse team and operations manager.
Coordinate shipments with the operations assistant and warehouse management.
Prepare and process purchase orders and requisitions for materials and supplies.
Ensure accurate stock level information is maintained in coordination with procurement.
Process billing invoices and assist with related documentation.
